HerdFlo Privacy Policy
Updated September 22, 2026
HerdFlo ("we") is a livestock gestation calculator and herd record-keeping service operated by FarmsFlo.
What we collect
Calculator: calculations run on your device and do not require an email or account. If you request a reminder, we store the email address, due date, and optional animal label needed to send it.
My Herd accounts: your email address, a password (stored only as a salted bcrypt hash — we cannot read it), and the herd records you create: animal names, tags, breeds, breeding dates, weights, treatments, pasture moves, and any photos you upload.
Tasks and record activity: we store task titles, notes, due dates, recurrence settings, associated animals and completion history. Record changes and task completions can include the contributing account's identifier or label and the time of the action. Herd owners can view recent herd activity; attribution also appears with records and reports.
Payments: Stripe processes website purchases; Apple and Google process purchases in their apps. We do not receive your card number. We store purchase references, account identifiers, product and entitlement status needed to confirm access, handle renewals and refunds, and prevent the same purchase being assigned to another account. Each payment provider’s privacy policy also applies.
Service usage: we record basic first-party events such as opening the app, completing a calculation, starting signup, and viewing an upgrade. A randomly generated installation identifier connects these events. Event data includes the platform and limited action details; it excludes your password and animal record content. Server logs also record technical request information needed to operate and secure the service.
How we use it
Solely to run the service: storing your records, syncing them across your devices, computing due dates, managing paid access, improving the signup and product experience, sending account and password-recovery messages, and sending reminders or Pro alerts you request. We do not sell, rent, or share your data with advertisers. We show no ads.
Photos
Animal photos use unguessable links. Anyone who has a photo’s link can view it, so share links only with people you intend to have access. They are deleted when you delete the animal or your account.
Shared herds
Sharing is optional. A herd owner uses a recipient's account sharing code to create an invitation bound to that account. We store membership roles, invitation status and expiry, and access changes. The owner provides the invitation code to the recipient; creating an invitation does not send an email.
Accepted viewers can read herd records and reports. Editors can also add and correct records. The owner manages member access and invitations. Shared herds require an online connection and are not placed in HerdFlo's personal offline record cache. Removing access prevents new authorized requests; it cannot erase information a member has already copied, printed, exported or captured in a screenshot. A previously copied photo link may still work while that photo exists.
Cookies & similar
A session token in your browser's local storage keeps you signed in. If you arrive through a referral link, a 30-day cookie credits the person who referred you. A local installation identifier supports the first-party usage measurement described above. We do not use advertising cookies or track you across other companies’ apps and websites.
Your rights
Offline records: while signed in, HerdFlo keeps a copy of viewed personal herd records and pending new records in this device’s app or browser storage. Pending records sync to your account when connected. Protect access to your device. Sync pending records before logging out; logout removes this account’s local record copy. Clearing browser storage or uninstalling the app before syncing may lose pending records. You can download pending records from the sync status for safekeeping. This emergency file is separate from the restorable account backup.
Download a JSON backup on every plan; Pro also includes CSV export. Photos are represented by links in the data backup, so save original photos separately. Delete your account and herd records from My Herd → Account → Delete account, or at herdflo.com/delete-account.html. Website subscriptions are canceled during deletion. Apple and Google subscriptions must also be canceled in the store where you subscribed.
Account deletion removes your sign-in details, animal records, uploaded photos, email preferences, and account-linked reminder information. Limited purchase and billing records may remain to reconcile transactions, process refunds, and prevent duplicate or reassigned purchase claims. First-party usage events are not joined to your account email. Contact support@farmsflo.com for a privacy or deletion request.
Email choices
Pro calendar email alerts are off until you explicitly enable them. Turn them off in the herd calendar or use the unsubscribe link in an alert. Account and password-recovery messages support requests you make to use the service. Requesting a calculator reminder does not subscribe you to a marketing newsletter.
Phone task reminders
Phone reminders are optional and require notification permission in the app. The device stores the active herd scope, task identifiers, scheduled dates and your chosen local reminder time to schedule notifications. Notification text is generic; it does not include animal names, task titles or notes. These reminders are scheduled locally, not sent as push notifications. Changes made on another device refresh when you reopen the herd online. Switching herds or signing out clears the active local reminder schedule. You can turn reminders off in the herd workspace or manage notification permission in your phone settings.
Children
HerdFlo is intended for users 13 and older and does not knowingly collect data from children under 13.
